Terms and Conditions

Great Relations

 

Effective date: 1 January 2026

These Terms and Conditions govern the use of services provided by Great Relations, operated by Hartkorn Communication ApS, Amaliegade 41, DK-1256 Copenhagen, Denmark.

 

By booking a session, workshop or other service through our website or by direct agreement, you agree to the terms set out below.

 

Section 1. About Great Relations

Great Relations provides services including:

  • couples therapy

  • individual therapy or coaching

  • executive coaching

  • relationship and leadership workshops

  • group therapy sessions

  • online sessions via video platforms

  • in-person sessions and events

 

Services may be delivered online or in physical locations depending on the specific session or workshop.

 

Section 2. Booking and Cancellation Policy

This Booking and Cancellation Policy apply to therapy sessions, coaching sessions, workshops and other services provided by Great Relations, operated by Hartkorn Communication ApS, Amaliegade 41, DK-1256 Copenhagen, Denmark. 

By booking a session, workshop or other services through our website or by direct agreement, you agree to the terms described below.

 

2.1 online sessions 

Sessions may be booked through the online booking system or directly with the therapist during the programme. If urgent support is needed, additional sessions may be scheduled depending on availability. 

Online sessions may take place through video conferencing platforms such as Zoom or similar services. 

 

Participants are responsible for ensuring they have:

  • appropriate technology for participating in the session

  • download of the agreed conference platform well before the session begins

  • a stable internet connection

  • access to a private and confidential environment

 

Great Relations cannot guarantee the availability or security of third-party platforms but seeks to use reliable and reputable providers. Online sessions rely on stable internet connections and functioning technology on both sides. Participants are responsible for ensuring that they have appropriate equipment, a stable internet connection, and access to the agreed video platform prior to the session.

If a session is interrupted or cannot be completed due to technical issues on the participant’s side (including internet connection, equipment or access to the agreed platform), Great Relations will make reasonable efforts to continue the session where possible. However, Great Relations cannot guarantee that the session will be rescheduled or extended in such cases. Participants are therefore responsible for ensuring that their technical setup, internet connection and environment are suitable for participating in an online session.

 

If a session cannot be completed due to technical issues on the participant’s side, the session may be treated as completed or as a late cancellation in accordance with the applicable cancellation policy.

2.1.1 Booking of Sessions and participation

Sessions and workshops may be booked through the Great Relations website or via direct agreement. 

 

By booking a service you confirm that:

  • the information you provide is accurate

  • you are at least 18 years old

  • you agree to the Terms and Conditions of Great Relations

 

Bookings are considered confirmed once payment has been received or otherwise agreed. Sessions may also be booked directly with the therapist during the programme. If urgent support is needed, additional sessions may be scheduled depending on availability. 

 

For couples therapy, both partners are considered participants in the session, and both are expected to respect the confidentiality and integrity of the process.

 

2.1.2 Introduction Session

Great Relations may offer a complimentary introduction session to allow potential clients to learn more about the therapy approach and determine whether the programme is the right fit.

The introduction session is considered confirmed once the booking has been completed through the online booking system and a confirmation email has been received. 

​

If you need to cancel the introduction session, you may do so through the booking system up to 24 hours before the scheduled session. 

​

Although the session is offered free of charge, participants are kindly asked to cancel at least 24 hours in advance whenever possible so that the time can be offered to other clients. 

​

If a participant does not attend the session without prior notice, the booking may be registered as a no-show. Repeated no-shows may result in restrictions on future bookings. 

​

2.2. Therapy Programme Structure

The couples therapy programme typically consists of 12 sessions, each lasting approximately 1.5 hours. 

​

Sessions are scheduled flexibly based on availability and the needs of the clients.

After the introduction session, session two becomes the first paid session. Following this session, clients decide whether they wish to continue with the full programme. If the programme continues, payment for the full programme is normally arranged before session three.

​

2.3. Payments

Payment for services may be handled through a payment platform most convenient in your country of residence. Great Relations currently accepts payments through the following providers:

  • Stripe

  • PayPal

  • Apple Pay

  • Google Pay 

​

Prices may vary depending on location, service type and currency. Additional transaction or processing fees charged by the payment provider may apply and may be passed on to the customer.

​

Unless otherwise stated, payment must be completed before the session or workshop takes place. For workshops or events, payment terms will be stated at the time of registration.

​

2.4. Cancellation and Rescheduling

If you need to cancel or reschedule a session, we kindly ask that you provide notice as early as possible.

2.4.1 Standard Cancellation and Rescheduling (Online Sessions)

​

Unless otherwise agreed, sessions — including the introduction session, session two, and any additional sessions — may be cancelled or rescheduled through the booking system up to 24 hours before the scheduled session time.

​

If cancellation or rescheduling is required within 24 hours of the session, you must contact us directly at kontakt@greatrelations.dk

Great Relations will make reasonable efforts to accommodate changes, but rescheduling within 24 hours cannot be guaranteed and depends on availability.

​

2.4.2 Couples Therapy programme 

The couples therapy programme typically consists of 12 sessions, each lasting approximately 1.5 hours.

​

After the introduction session, session two becomes the first paid session. Following this session, clients decide whether they wish to continue with the full programme. If the programme continues, payment for the full programme is normally arranged before session three.

​

If participants choose to discontinue the programme after payment for the full programme has been made, refunds may only be issued for sessions that have not yet been scheduled or booked.

​

Sessions that have already been scheduled remain subject to the applicable cancellation and rescheduling policy and are non-refundable.

​

If a participant decides not to attend a scheduled session after payment has been made, the session may be rescheduled within two (2) months from the original session date, subject to availability. The session fee itself remains non-refundable.

If the session is not rescheduled within this two-month period, the session will be considered expired.

​

2.4.3 Workshops and events
Great Relations reserve the right to reschedule or cancel sessions due to unforeseen circumstances. In such cases participants will be offered an alternative time or a full refund where applicable. 

​

Registration for the Great Relations Couples Workshops in Cape Town is confirmed once payment has been completed through the booking system.

 

Due to the nature of the event and the planning required — including selection of venue, capacity planning and logistical arrangements based on the number of registered participants — the following cancellation policy applies:

  • Participants may cancel their registration and request a refund up to 14 days before the event date.

  • Cancellations made within 14 days of the event cannot be refunded. This applies regardless of the reason for cancellation, including personal circumstances or inability to attend.

  • In the event of non-attendance (no-show), the ticket remains valid, but no refund will be issued.

​

Payment for the workshop is made at the time of booking, and the full amount is therefore non-refundable within the final 14 days before the event.

​

Participants who are unable to attend are welcome to transfer their ticket to another couple, provided that Great Relations is informed in advance.

If the event is cancelled by Great Relations, participants will receive a full refund of the ticket price. 

​

Any refunds will normally be issued using the same payment method that was used for the original transaction,unless otherwise agreed. Processing times may vary depending on the payment provider and financial institution.

​

Late Cancellation

Participants may freely cancel or reschedule a session up to 24 hours before the scheduled session time.

​

If a cancellation or rescheduling request is made within 24 hours of the scheduled session, a cancellation fee of 25% of the full session price will apply.

If a session is cancelled on the same day as the scheduled session, the full session fee will apply. In such cases, the session fee remains payable and no refund will be issued. However, the participant will still be able to reschedule the session for another available time, meaning the paid session may be redeemed at a later date.

This policy reflects that the session time has been reserved exclusively for you and cannot normally be offered to another client at short notice.

​

For clients participating in prepaid session packages (e.g. programmes including multiple sessions purchased in advance), cancellations or rescheduling requests made within 24 hours of the scheduled session will be subject to a 10% cancellation fee calculated on the value of a single session within the package. This fee will be added to the total programme balance.

 

Late Arrival

If a participant arrives late to a scheduled session, a workshop or an event, the session will still end at the originally scheduled time in order to respect the schedule of other clients. 

​

Late arrival will therefore not result in an extension of the session or a reduction of the session fee.

​

If a participant is significantly delayed and unable to attend the session, the session may be treated as a late cancellation or no-show in accordance with the cancellation policy. 

​

Participants are encouraged to ensure that they are ready to begin the session at the scheduled time, particularly for online sessions where technical setup may take some time.

 

2.5. No-Show Policy

If a participant does not attend a scheduled session, workshop or event without prior notice, the session will be registered as a no-show. In such cases, the full session fee will apply.

 

2.6. Postponement or Change of Relationship Status

If unforeseen circumstances arise, the therapy programme may be postponed for up to one year from the programme start date (session 2).  After this period, continuation of the programme requires a new agreement. 
If a couple separates during the programme, any remaining sessions may be converted into individual therapy sessions for one of the participants – of your own agreement- should you wish to continue the process individually. 

 

2.7. Changes or Cancellation by Great Relations

Great Relations reserves the right to reschedule or cancel sessions due to unforeseen circumstances.

In such cases participants will be offered:

  • an alternative session time, or

  • a refund where applicable

 

This policy forms part of the Great Relations Terms and Conditions.

Section 3. Confidentiality

Great Relations treats all information shared in therapy, coaching and workshops with the highest level of confidentiality. Participants are expected to confirm to the confidentiality of others and not disclose personal information shared during sessions.

​

However, confidentiality may be limited where disclosure is required by law or necessary to protect a person’s vital interests.

 

Section 4. Online Sessions and Recording of Meetings

Sessions may take place online via video meeting services such as Zoom.

Great Relations records online sessions as a general rule due to the programs focus on in- between-sessions exercises and reflections. 


Recording will only take place after prior notice and with the explicit consent of all participants.

​

Where consent is provided, recordings may be used solely for the purpose of creating written notes or summaries from the session. In such cases, the recording may be processed through a transcription tool powered by artificial intelligence, such as Transkriptor.com, in order to generate a transcript or summary.

These notes may subsequently be shared with the participants after the session to support reflection and follow-up on the topics discussed.

​

Recordings used for transcription are not stored longer than necessary for the preparation of session notes and will be deleted once the transcription and notes have been completed.

​

Participants are also encouraged not to record or share content from sessions without the consent of all parties involved.

​

The transcription provider processes the recording solely for the purpose of generating transcripts on behalf of Great Relations.

 

Section 5. Professional scope of services

Great Relations provides therapy, coaching and advisory services aimed at supporting personal development, relationships and leadership. These services are not a substitute for medical, psychiatric or emergency mental health care. If you are experiencing a mental health crisis or require urgent professional medical assistance, you should contact relevant emergency or healthcare services in your local area.

 

Section 6. Postponement or Change of Relationship Status

If unforeseen circumstances arise, the therapy programme may be postponed for up to one year from the programme start date.  After this period, continuation of the programme may require a new agreement. If a couple separates during the programme, any remaining sessions may be converted into individual therapy sessions for one of the participants, should they wish to continue the process individually.

 

Section 7. Client Responsibilities

Clients and attendants are expected to actively participate in the therapeutic, coaching or workshop process and to contribute to creating a respectful, constructive and confidential environment during sessions and workshops.

By booking or participating in services provided by Great Relations, you agree to the following responsibilities:

Participation and Engagement
Clients are responsible for their own participation in the process. The effectiveness of therapy, coaching or workshops depends on the willingness of participants to engage honestly and constructively in the process.

Great Relations cannot guarantee specific outcomes, as results may vary depending on individual circumstances, health, mindset and levels of participation.

 

Respectful Conduct
Participants must behave respectfully towards therapists, facilitators and other participants.

​

Harassment, discrimination, threatening behaviour or disruptive conduct will not be accepted. Great Relations reserves the right to terminate a session or remove a participant from a workshop if behaviour is considered inappropriate or harmful to others.

​

Confidentiality of Other Participants
In group sessions or workshops, participants may hear personal information shared by others. Participants agree to respect the privacy of other individuals and not at any time disclose personal information shared during sessions.

​

Personal Responsibility
Clients remain responsible for their own physical, emotional and psychological wellbeing during and after sessions.

​

Therapy and coaching sessions are intended for personal development and relationship work, but they are not a substitute for medical, psychiatric or emergency mental health care.

​

If a participant experiences a mental health crisis or requires urgent assistance, they should contact appropriate professional medical or emergency services in their local area.

​

Technology and Environment for Online Sessions

For online sessions, participants are responsible for ensuring that they:

  • have a stable internet connection

  • participate from a private and confidential environment

  • use appropriate technology to access the session

Great Relations cannot be held responsible for interruptions caused by technical issues outside our control and cannot be held responsible for internet hacking. Our platforms are secured by anti- virus programs.

 

Section 8. Mutual Commitment in Couples Therapy

Couples therapy is based on the active participation and commitment of both partners.

​

By enrolling in the couples therapy programme at Great Relations, both partners acknowledge that the process is a joint therapeutic effort and agree to participate in the sessions with openness, honesty and respect.

​

Both participants are encouraged to attend all scheduled sessions and to engage constructively in the therapeutic process. The effectiveness of the programme depends on the willingness of both partners to contribute actively to the dialogue and the exercises introduced during the sessions.

​

If one partner chooses to discontinue participation during the programme, Great Relations cannot guarantee that the remaining sessions will continue as couples therapy. In such cases, the remaining sessions may, where appropriate and agreed with the therapist, be converted into individual therapy sessions for one of the participants.

​

The therapist may also recommend adjustments to the format of the sessions if this is considered beneficial for the therapeutic process.

​

Participation in couples therapy does not imply any guarantee regarding the outcome of the relationship. The purpose of the programme is to support constructive dialogue, deeper understanding and informed decisions regarding the future of the relationship.

 

Section 9. Limitation of liability

Great Relations provides its services with professional care and integrity. However, participation in therapy, coaching or workshops involves personal processes and outcomes cannot be guaranteed. To the extent permitted by law, Great Relations shall not be liable for indirect or consequential damages arising from participation in services. Nothing in these terms limits liability where such limitation would be unlawful under applicable law.

 

Section 10. Intellectual property

All materials provided during workshops, sessions or through the website, including written materials, presentations and frameworks, remain the intellectual property of Great Relations unless otherwise stated. These materials may not be reproduced, distributed or used commercially without written permission.

 

Section 11. Personal data and privacy

Personal data is processed in accordance with our Privacy Policy and Cookie Policy, which describe how we collect, process and protect personal information. By using our services, you acknowledge that personal data may be processed in connection with booking, communication and delivery of services.

 

Section 12. Changes to these terms

Great Relations may update these Terms and Conditions from time to time. The latest version will always be available on our website. Continued use of our services after updates constitutes acceptance of the revised terms.

 

Section 13. Governing law

These Terms and Conditions are governed by the laws of Denmark. Any disputes arising from these terms or the use of our services shall be subject to the jurisdiction of the Danish courts, unless mandatory consumer protection rules provide otherwise.
